Privacy Policy

This explains what personal data MedAdmit collects when you use our website, tools and counselling services, why we collect it, who we share it with, and the choices you have.

1. Who we are

MedAdmit is a NEET-UG admissions guidance platform — college/rank predictors, exam and college information, and paid counselling services for medical, dental and allied-health admissions in India. MedAdmit is operated by AdmitHive Private Limited(“MedAdmit”, “we”, “us”, “our”), registered office 630 & 631, Tower B, Bhutani Alphathum, Sector 90, Noida, Uttar Pradesh 201304.

2. Scope of this policy

This policy covers medadmit.in, our predictor tools, the student counselling portal, and any communication we send you (SMS/OTP, WhatsApp, email, phone calls). It does not cover third-party sites we link to (e.g. official NMC, NTA, MCC or state counselling authority websites) or the internal tools our staff use to manage your case, which are covered by our internal data-handling procedures rather than a public policy.

3. Information we collect

a. Information you give us directly

  • Account details — name, phone number, and optionally email, collected when you sign up. We authenticate by SMS OTP to your phone number; we do not ask you to create or store a password.
  • Academic & exam details — NEET marks, All India Rank, category (General/EWS/OBC/SC/ST), PwBD status, domicile state, gender, course interest, and (for the admission tool) an indicative family budget band. You provide these to get a college/rank estimate; nothing here is verified against NTA at the point of entry.
  • Counselling documents — if you purchase counselling, you may upload your NEET scorecard, admit card, Class 10/12 marksheets, category/EWS/PwBD certificates, a photograph, signature, government photo ID, and bank details (for a cancelled cheque, where a state counselling authority requires it). These are the same documents the official counselling process itself requires.
  • Payment information — handled entirely by our payment processor (Razorpay). We store the transaction result (amount, status, an order/payment reference) — we never see or store your card, UPI PIN or netbanking credentials.
  • Communications — messages you send us on WhatsApp, email or through the in-portal chat with your assigned counsellor.

b. Information collected automatically

  • Device and usage data — pages visited, approximate location (from IP), browser/device type, referral source (e.g. which ad you clicked) — via standard web analytics and the Meta (Facebook) Pixel/Conversions API on marketing pages.
  • Session and security logs — sign-in timestamps, OTP delivery status, and basic fraud/abuse signals (e.g. repeated failed OTP attempts) to keep the platform secure.

4. How we use your information

  • To run the predictor tools and show you an eligibility/college estimate against your marks or rank.
  • To deliver paid counselling — assign you a counsellor, verify your documents against the requirements of your target counselling authority (MCC or your state), and support you through registration, choice-filling and seat allotment.
  • To process payments and send payment confirmations/receipts.
  • To contact you — OTP for sign-in, updates about counselling deadlines and your case, and (if you have not opted out) marketing about our services.
  • To improve the service — understand which tools are useful, measure ad performance, and debug problems.
  • To meet legal obligations — tax/accounting records for payments, and responding to lawful requests from authorities.

6. Who we share it with

We do not sell your personal data. We share it only where necessary to run the service:

  • Your assigned counsellor and their supervising team, who need your details and documents to actually do the counselling work you have paid for.
  • Payment processing — Razorpay, to accept and verify your payment.
  • Cloud hosting & database — our infrastructure providers, who store data on our behalf under contract and do not use it for their own purposes.
  • Communications — our SMS/OTP provider, our telephony provider (for calls made to/from our counsellors, including call recording — see below), and email/WhatsApp delivery services.
  • Staff scheduling tools — if you book a session, the appointment (your name, phone, and the scheduled time) is created via Google Calendar/Meet under our counsellors’ work accounts, for the sole purpose of hosting that session.
  • Advertising partners — Meta (Facebook/Instagram), to measure whether an ad led to a signup or purchase. This is limited to what is needed for that measurement (e.g. a hashed phone/email, the action taken) — see Cookies & tracking.
  • Legal & compliance — where required by law, court order, or to protect the rights, property or safety of MedAdmit, our users, or the public.
  • Business transfers — if MedAdmit is ever involved in a merger, acquisition or asset sale, your data may transfer as part of that deal, subject to the same protections in this policy.
We never share your counselling documents (ID, marksheets, certificates) with anyone outside MedAdmit except the counselling authority itself, where submission is part of the official registration process you have asked us to help you complete.

7. Calls, recording & AI analysis

Calls between you and a MedAdmit counsellor may be recorded and transcribed for quality, training and dispute resolution — the same reason most support lines record calls. Transcripts may be reviewed by an AI system to help us gauge lead intent and call quality; this assists our internal reporting and is never used to make a decision about your admission or eligibility. Recordings are stored securely and accessible only to authorised staff.

8. Cookies & tracking

We use essential cookies to keep you signed in and remember your session. On marketing pages we also use the Meta Pixel and Conversions API to measure ad performance (e.g. did someone who clicked our ad go on to sign up or pay). This shares limited, hashed data with Meta — it does not include your documents, marks, or rank. You can control cookies through your browser settings; blocking non-essential cookies will not affect your ability to use the predictor tools or counselling portal.

9. How long we keep it

  • Account and academic details — for as long as your account is active, and for a reasonable period after in case you return the following counselling cycle.
  • Counselling documents — for the duration of the counselling cycle you purchased, plus a retention period afterwards to handle any dispute, refund request, or follow-up you raise about that cycle.
  • Payment records — retained as required under Indian tax and accounting law, typically several years.
  • Call recordings — retained for a limited period sufficient for quality review and dispute resolution, then deleted.

10. Security

We restrict access to your data to staff who need it to do their job — your counsellor and their supervising team for counselling data, and a small technical team for infrastructure. Access to the CRM is individually logged. Documents are stored in access-controlled storage, not publicly reachable. No online system is 100% secure, but we take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse, and we expect the same of every third party we share data with.

11. Your rights

You can ask us, at any time, to:

  • Access the personal data we hold about you.
  • Correct inaccurate details (e.g. a mistyped rank or an outdated phone number).
  • Delete your account and data, subject to what we are legally required to retain (like payment records) and any active counselling cycle you are mid-way through.
  • Withdraw consent for marketing messages or non-essential tracking — reply STOP to an SMS/WhatsApp message, or email us.

Email info@medadmit.infrom the address/number on your account, and we will respond within a reasonable time. These rights are available to everyone using MedAdmit and are consistent with India’s Digital Personal Data Protection Act, 2023.

12. Minors & guardians

Many NEET aspirants are minors at the time they take the exam. MedAdmit’s services are intended to be used with the involvement of a parent or guardian, particularly for payment and document submission — the “student” fields in a counselling case are frequently filled in by a parent on the student’s behalf, which is normal for this process. If you are a parent or guardian and believe your child has set up an account or made a payment without your knowledge, contact us and we will assist.

13. Where your data is processed

Our infrastructure and some third-party processors may store or process data on servers located outside India. Where that happens, we rely on providers who apply comparable data-protection standards, and the data remains subject to this policy regardless of where it is processed.

14. Changes to this policy

We may update this policy as our services or the law changes. The “Effective” date at the top always reflects the latest version. For material changes — like starting to share data with a new category of third party — we will make a reasonable effort to notify active users directly rather than relying on the date alone.
